The Venue Licensing fee includes access to the space for setup, event time and teardown. Pre-planning support from our event staff is also included. Any banners or promotional sponsor signage must be pre-approved by your Events Manager or Venue Supervisor. Banners and signage must be installed in pre-approved locations, in a manner that will not damage the facility. If not pre-approved, your Venue Supervisor can approve your signage plans and provide a safe adhesive for you to use on the day of your event. Banners and signage must not block existing artwork, land acknowledgements or donor signage in any of the lobby areas.
This is dependent on your event needs as well as the building schedule. For most events, we recommend two to four hours of setup. Robust event plans often require more setup time. Our event staff will work with you to ensure sufficient time is allocated for load in, setup and decor.
Additional venue costs include staffing at the levels required by the venue, dependent on client needs, in-house AV equipment, in-house furniture and music licensing fees. Food and beverage are also not included in the rental fee, nor are insurance, special occasions permits, or external furniture and equipment rentals. There will likely be additional costs related to your event outside of what we include in your rental. These will vary depending on the nature of your event.A comprehensive list of the additional costs that are included in your rental is provided in the pre-event invoice.
Any additional equipment needs to be approved by our Sr. Manager, Technical Services  to ensure we have the correct staff and infrastructure to install and operate it. Additional equipment brought in on the event day without prior approval will not be allowed.
Of course! One of the many benefits of hosting your events at an Artscape venue is the ability to serve alcohol under a Special Occasions Permit (SOP), minimizing costs and improving the beverage selection.  If you plan to serve alcohol at your event, you must obtain an SOP online from the Alcohol & Gaming Commission of Ontario (AGCO). Visit agco.ca and create a new account in order to access the application form.If your caterer has a Catering Endorsement, they are permitted to sell and serve beverage alcohol (which the majority of our preferred caterers can). The caterer must provide the venue with a copy of the Catering Endorsement 10 days prior to the event. In all cases, the permit must be posted at the event.
If your event has been offered an Artscape subsidy or discount, you are expected to formally recognize Artscape’s contribution on your publicity materials, website, social media and event program and/or during the event itself. The recognition should be proportionate or equal to the amount of the subsidy. We will happily provide Artscape logos, website/social media links and boilerplate language. Any use of Artscape’s logo or name or any other Artscape intellectual property must be reviewed and approved by Artscape prior to production and publication.
We sure do! We highly recommend choosing from our list of preferred vendors, as they are familiar with our spaces.  Clients are able to bring in outside caterers, but they must have insurance, complete a pre-event site visit and venue walkthrough and will be subject to a 20% landmark fee. Where Artscape Venues have an exclusive relationship with a supplier for rental items, you are required to use that supplier. If you’re unable to do so, it will result in an additional post-event fee.
